Administrative Assistant - Clinical Mental Health Counseling, Social Work, and Athletic Training Departments

Part-time position (20 hrs/week for 12 months)

General Purpose:

To provide administrative and secretarial support to the Clinical Mental Health Counseling, Social Work, and Athletic Training Programs

Essential Functions:

General support duties for the CMHC, SW and AT Departments:

  • Track student application materials to facilitate file completion and communication between applicants, admissions, and programs

  • Manage documentation for program-specific clinical/internship site affiliations and communication of student documentation requests from specific sites.

  • Manage documentation, contact information, appropriate licensure, certification, or National Provider Identifier (NPI) information for program-specific clinical and site supervisors.

  • Manage and maintain program documentation for student progression in both the classroom and clinical components of the programs.

  • Help collect and manage assessment materials necessary for program-specific accreditation.

  • Monitor department budgets, complete budget requisitions for submission to Accounts Payable; may reconcile credit card statements.

  • Assist in the planning of meetings and events by making room reservations, coordinating schedules, activities and preparing materials.

  • Assist in planning and managing information and materials for on-site student residencies.

  • Assist with the collection and maintenance of information for program alumni and advisory committees.

  • Input data and assist with the management of multiple databases.

  • Assist with or complete other duties as assigned.

Qualifications and Requirements:

  • High school diploma or GED required. Bachelor’s degree preferred.

  • Prior administrative assistant experience or equivalent training.

  • Strong interpersonal and communication skills, both written and oral.

  • Proficiency in the use of computers, email, Excel, Word, and PowerPoint.

  • Highly organized, detail-oriented, and able to multitask in an accurate and timely manner.

  • Professional behavior including the ability to maintain confidentiality.

  • Experience with Microsoft Office, Access, and/or Blackboard Course Management System or other database systems or demonstrated ability to learn new database systems.

Working Conditions:

Work is performed in a normal office setting. Sits. stands, bends, lifts and moves intermittently during working hours. During the course of the day, can interact with students, faculty, and staff by computer, phone, or in person.
